About Childcare Vouchers

Before set up, employers should:

  • Review the scheme guidelines (for more information click here)
  • Inform payroll and account departments
  • Confirm at least one employee is taking part.

Employers can gauge the level of employee interest in the scheme by circulating a questionnaire.

Set up

Step 1. Employer sets up a company account
The employer enters company information, agrees to the terms and conditions and completes a Direct Debit mandate (compulsory if ordering vouchers weekly).

Step 2. Parents create individual accounts
Parents enter their details then print and return a signed Salary Sacrifice Agreement (for more information click here) to their employer. Parents enter their carer's details and are sent a password to access their e-voucher account.

Step 3. Parents set up carers
Parents advise their carers that they will be taking Childcare Choice vouchers. If the carer is already registered with Sodexho Pass then the parent needs the carer's Sodexho Pass carer ID number. Carers that are not yet registered with Sodexho Pass must complete a print-out of the Carer Registration Form and send Sodexho Pass a copy of their carer registration/approval certificate. Parents are informed by email when carers have returned the necessary information.

Step 4. Employer orders vouchers
The employee creates an order from the information submitted by parents.  The employer places a voucher order each pay period, for all employees on the scheme. For more details click here.

Step 5. Parents pay carers
Parents receive email notification when the vouchers have been credited to their online accounts. Parents access their accounts to action payment directly into their carer’s bank account. Payment is fast and secure. Carers receive payment notification via email, or alternatively by post if they do not have email access. If parents have set up regular payments these will be processed automatically with no further action required, just like a bank standing order.
